You are handing us details about your child. Here is exactly what happens to them.

The short version
- We collect what the intake form asks for, and use it to build your report.
- We do not sell your information, and we do not send it to recruiting services, colleges, or coaches.
- Producing a report involves third-party services that process the athlete profile on our behalf.
- Ask us to delete your family's data and we will.
What we collect
Directly from you, through the intake form:
- Your name and email address as the parent, guardian, or athlete submitting the form.
- The athlete's name, graduation year, state, high school, and club or travel team.
- Athletic information: positions, height, weight, bats and throws, velocities, times, and season statistics.
- Academic information: GPA, SAT or ACT scores, intended major, and academic priorities.
- Anything you write in the free-text fields, including your recruiting questions and search criteria.
Automatically, when you use the site:
- Standard server logs from our hosting provider, including IP address and browser type.
- Aggregate page-view and conversion analytics.
- If you reached us through one of our own ads or links, the campaign tags on that link and the page you landed on, so we can tell which advertising works. We record the site you came from, but not the specific page on it.
If you start the intake form and do not finish it, we keep what you entered on the first step so we can follow up. You can ask us to delete it at any time.
If you create a free account to see a full guide, such as our college camps list, we keep your email address and the account it signs in to.
We never see or store your full card number. Payments are handled entirely by Stripe.
Information about minors
Most athletes we write about are under 18. The intake is designed to be completed by a parent or guardian, or by an athlete with a parent or guardian's permission, and by submitting it you confirm you have the authority to share that information with us.
Our service is directed at parents and guardians, not at children. We do not knowingly collect information directly from a child under 13. If you believe a child under 13 has given us information without a parent's involvement, email us and we will delete it.
We do not build advertising profiles from athlete data, and we do not use it to target anyone with ads.
How we use it
- To research and produce your report, and to have a person review it before delivery.
- To email you the report and answer your follow-up questions.
- To contact you about an intake you started but did not finish.
- If you created a free account for a guide, to email you about camps and recruiting. Every such email lets you unsubscribe.
- To ask how a report you bought went, and to read what you tell us.
- Unless you uncheck the box next to your comment, to show your rating and comment on our website with the credit shown next to that box: your first name and last initial, and your athlete's graduation year and position. Players who filled in the form themselves are credited without a name.
- To improve our research methods and the quality of future reports.
- To meet legal, tax, and accounting obligations.
Who we share it with
We do not sell your information. We share it only with the service providers that make the product work, and only so they can perform that work for us:
- Stripe: payment processing. Stripe receives your payment details directly.
- Supabase: the database where your intake and report are stored.
- Vercel: website hosting and analytics.
- Resend: sending the emails we send you.
- Meta: advertising measurement, so we can tell which ads bring families to us. Meta receives page visits on our public pages, the fact that someone started or purchased a report, and the identifiers its own pixel placed in your browser. It never receives your email address or any athlete information.
- Technology providers: the automated research and drafting systems behind the report. The athlete profile you submit is processed by these systems to produce it. We use them under commercial terms rather than consumer ones.
We may also disclose information if the law requires it, or to protect our rights, our users, or the public.
We do not send your athlete's information to college coaches, recruiting platforms, showcase operators, or anyone else who might market to you. The report goes to you, and what you do with it is your decision.
How long we keep it
We keep your intake and report for as long as we are providing you the service and for a reasonable period afterwards, so we can answer questions about a report we wrote and meet our tax and accounting obligations. Unfinished intakes are kept so we can follow up, and are removed on request.
Your choices
Email hello@rosterfit.co and we will, without making it difficult:
- Send you a copy of what we hold about your family.
- Correct anything that is wrong.
- Delete your family's information, except what we must keep for tax or accounting records.
- Stop emailing you.
Depending on where you live, you may have additional rights under state or national privacy law. We apply the choices above to everyone regardless.
Cookies and analytics
We use Vercel Analytics to count page views and to see which parts of the site lead to a completed intake. It does not use cookies to follow you across other websites.
We also keep our own count of page views, clicks on the free preview button and intake steps reached. Your browser stores a random ID so we can count one visitor once. That count holds the page, the step, and the site or campaign that sent you. It does not hold your IP address, your name or anything you type.
We also use Meta's advertising tools to measure whether our ads work. A Meta pixel runs on our public pages (the marketing pages and the guides) and tells Meta that a visit happened. Meta can connect that to a Facebook or Instagram account and use it to show you our ads. We have turned off Meta's automatic collection of form fields, so nothing you type anywhere on this site is sent to Meta from your browser.
On the intake form, what we report depends on which step you are on rather than on the web address. The first step asks only for your name, your email, your athlete's name and their graduation year, and on that step the pixel runs and tells Meta that someone started the form. It does not read those fields. From the second step onward, where we ask about your athlete's school, grades and measurements, the pixel is switched off and stays off for the rest of your visit to that page. If you reach the form already past the first step, which happens when you entered those four fields elsewhere on the site or are returning to a saved draft, the pixel is never loaded at all. Any link we email you, whether it resumes a saved form, takes you back to checkout, or unsubscribes you, is excluded entirely, so the reference in its web address is never shared.
Pages we advertise to can carry a short starting form asking for your name, your email, your athlete's name and their graduation year, and the pixel does run on those pages so we can tell which ad brought you. It does not read those fields. What you enter reaches us, not Meta.
Some of those pages continue into the full profile without sending you to a different web address. When that happens, the pixel is switched off at the moment the profile questions appear and stays off for the rest of your visit to that page, so nothing is reported to Meta from a page showing your athlete's school, grades or measurements, exactly as on the intake form itself. The web address does not change, but what we report does.
When a report is purchased, the confirmation page tells Meta that a purchase happened and its price. We remove the checkout reference from the web address first, so the payment identifier is not shared. We do not send the athlete's name, school, grades, or measurements, or your email address, to Meta or to any other advertising platform.
Our server sends the same purchase confirmation directly to Meta as well, because the message from your browser is often blocked and we need an accurate count of which ads lead to a sale. It carries the same two things: that a purchase happened, and its price, plus the advertising identifiers Meta's own pixel already placed in your browser, so it can tell it is the same purchase rather than a second one. It still contains no name, email, school, grades, or measurements, and we do not send your IP address with it.
You can limit how Meta uses this in your Facebook or Instagram ad settings, or by using a browser that blocks third-party trackers.
The intake form stores your answers temporarily in your own browser so you can move between steps without losing them. That data stays on your device.
When you arrive from one of our ads, we save that ad's campaign tags in your browser for up to 90 days, so that if you come back later and submit the form we can tell which ad brought you. It is stored by this site alone, it is not shared with the advertising platform, and it cannot be read by any other website. If you submit the intake form, those tags are saved alongside your submission.
Text messages (SMS)
We send text messages only to RosterFit staff who opt in on our staff alerts page (rosterfit.co/sms-alerts). Mobile numbers and SMS opt-in consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help at any time.
Security
Information is stored on managed infrastructure with access restricted to the people who operate the service. No system is perfectly secure, and we will not claim otherwise, but athlete data is not exposed publicly, and our database is not readable by anonymous visitors.
Changes to this policy
If we change how we handle your information, we will update this page and the “last updated” date at the top. Significant changes will be described here rather than made quietly.
